Payment Policy

1. Session Fee

The program fee is $80 per family for one full block of 8 sessions, which is equivalent to $10 per family per class. This fee covers all supplies for fine motor crafts and activities provided during the session block.

The session fee reserves one family spot for the full 8-session block. The fee is not reduced because of family absences, partial attendance, or voluntary withdrawal after the session block begins.

3. When Payment Is Due

Payment is due within 7 days of completing registration via the Google Form. Your family’s spot is reserved once payment is received. If payment is not received within the 7-day window, your spot may be offered to families on the waitlist.

4. Refunds & Cancellations

• Full refund: Available if you cancel before the first session of the current period.
• No mid-session refund: Once the first session in the 8-session block has begun, no full or partial refund is issued for voluntary withdrawal, missed dates, schedule conflicts, or partial attendance.
• No per-class credit: Missed individual sessions are not refundable and do not reduce the total session fee.

5. Weather Cancellations

The program runs rain or shine. In the event of severe weather (thunderstorms, extreme cold, or other unsafe conditions), the session may be cancelled by Program leaders. If a session is cancelled due to weather:

• Families will be notified by 8:00 AM on the morning of the session via email or the group communication channel.
• Cancelled sessions due to weather will be rescheduled so that the full 8-session block is still delivered. Make-up dates may be added at the end of the session period or on another announced date.
• Because the session fee is for a full 8-session block, there is no per-session reduction or refund for weather cancellations when the cancelled session is rescheduled as part of that block.

6. Financial Flexibility

We remain flexible for families who need financial accommodation. If the full session fee presents a hardship, please reach out to us directly at rootsandwingswnc@gmail.com before the session begins to discuss your situation. Any reduced-rate arrangement or payment plan must be agreed in writing before the first session.

7. Acknowledgment

By completing the Roots and Wings WNC registration form, I confirm that I have read, understood, and agree to this Payment Policy. I understand that payment is required via Venmo and that my family’s registration is not complete until payment is received.
